Managing your Digital Records with FC Memex
Managing your files nearly always involves converting paper records into digital records by scanning documents and generating computer files. You then have to put those records somewhere that can be accessed by all appropriate parties. FC Memex makes this process simple and convenient!
• Scan your paper document using any scanner, and save the result as a TIFF file (.tif)
• Drag your file to the upload bar of your Digital Library in FirstClass - where the arrows are on the right
• The file is uploaded via FirstClass directly into the remote server! It will be automatically OCR processed, and available to be found by both Search and Browse techniques! (This assumes the storage server has the Windows 7 Pro operating system).
• To upload multiple files, you can compress them into a ZIP archive, and upload the archive. FCMemex will unzip the archive on-the-fly and add the individual items to the library.
It is also possible to batch scan your files, and upload them directly to the server if that is more convenient. Typically this is how your files are initially loaded into the system. Once it is operational you will need to add files from time to time, and rather than have to go to the server you can reach it directly from FC Memex! Or your scanning workflow can feed the storage location directly on your network.
With FC Memex, the tedious task of converting paper records into digital records, and maintaining the library once it is created, is made simple enough for any user of your system to be able to upload new material into the system. You can however control which users have upload rights in any digital library.
